How to Get Your Team to Actually Use AI

Why AI rollouts stall in businesses and teams, and five practical ways to get your whole team using Claude every week.

You bought the subscription. You sent the announcement. A month later, two people use it and everyone else has quietly gone back to the old way.

This is the most common story I hear from business owners and their teams. The good news: it’s rarely a technology problem. It’s a setup and habits problem, and both are fixable.

Why AI rollouts stall

  • Blank-page paralysis. People open Claude, don’t know what to ask, and close it.
  • One bad first try. A vague prompt gets a generic answer, and they decide “it’s not for us.”
  • No clear permission. Team members aren’t sure what they’re allowed to use it for.

1. Start with their work, not the tool

Don’t train people on “how AI works.” Sit with each person and ask: what’s the most tedious thing you do every week? Then show them Claude doing that exact task.

People adopt what saves them time on Tuesday, not what impresses them in a demo.

2. Hand them something ready to use

Set up a Claude Project for each recurring task, with the instructions, examples and reference files already in place. Your team should open it and get a good result on the first try.

3. Make the rules clear

Write a short, friendly guideline: what Claude is great for, what needs a human check (anything going to a client, any numbers), and what information shouldn’t be shared. Clear rules make people more willing to use it, not less.

4. Name a champion

Every team has someone curious about new tools. Give them a little time each week to help others and share wins. Peer help beats any training manual.

5. Share wins out loud

When someone saves an hour on a proposal, say so in your team meeting. Small, specific wins spread faster than any mandate.
